Feed Klaviyo what happens in the rest of your business, so the right email goes out

Klaviyo is good at sending the right email or text at the right moment, but only if it knows what happened. If your bookings, visits, or orders live in another tool, Klaviyo is guessing. Connecting your tools (the industry calls it data pipelines) means each visit or order flows into Klaviyo as it happens, so your follow-ups go out on time and say the right thing. Where it helps, an AI helper drafts each message from the visit details, and you choose what gets sent.

What you get

What we connect for you in Klaviyo

01

Visits and orders flowing in

Each booking, visit, or order from your other tools lands in Klaviyo as it happens, with the details your messages need.

02

Follow-ups that fire on time

Klaviyo flows that send a rebooking nudge, a thank-you, or a reminder at the right point after each visit or order.

03

Messages drafted from the real visit

An AI helper drafts each follow-up from what the client had done, in your tone, so it reads like it came from you.

04

Clean client records

We match people across your tools, so one client doesn't turn into three profiles in Klaviyo.

05

Someone watching the pipes

When a connected tool changes and data stops flowing, we notice and fix it before your follow-ups go quiet.

Your follow-ups happen when someone remembers

You pay for Klaviyo, and you know a well-timed follow-up brings people back. But the thing that should trigger it, a visit, a treatment, or an order, happens in another tool. So the follow-up depends on someone exporting a list, or remembering to send a text at the end of a busy day. On a quiet week it happens. On a full week it doesn’t, and those are the weeks you’d most like people to rebook.

Why Klaviyo on its own doesn’t do the job

Klaviyo is built to send messages when something happens. It can wait three weeks after a visit, check whether someone has rebooked, and send a nudge if they haven’t. But it can only act on what it knows. If your bookings live in a separate system, Klaviyo has no idea who came in yesterday or what they had done.

Klaviyo links straight to some tools, like Shopify. For many booking systems, or for details like which treatment a client had, there’s a gap. Someone has to fill it, and that’s the job that gets dropped.

How we connect it to Klaviyo

We work with Still Water Day Spa, a seven-person day spa in Noosa. Clients often left without rebooking, and follow-up texts happened when someone remembered. The spa runs its bookings in Fresha.

We connected Fresha to Klaviyo, so each visit flows across with the details of the treatment. An AI helper (the industry calls it an agent) drafts a follow-up message from each visit, and Klaviyo sends it at the right time. Over three months, the rebooking rate went from 31% to 44%. We’re careful with that number, because the spa also rolled out a new booking system in the same period, and that helped too. Read the Still Water Day Spa story.

Before we connected anything, we mapped how they work (the industry calls it process mapping). That meant agreeing when a follow-up should go out, what it should say for each kind of treatment, and which clients should never get an automatic message.

When connecting Klaviyo is the right call, and when it isn’t

It pays off when your follow-ups depend on something that happens in another tool, like a visit, a class, or an order, and you have enough clients that doing it by hand gets missed.

If you already sell through Shopify and only need basic order emails, Klaviyo’s own link may cover it, and you don’t need us. And no follow-up email fixes a visit that went badly. Those clients need a call from a person, and we set the connection up so they’re left out of the automatic messages.

FAQs

Common questions

Doesn't Klaviyo already connect to my tools?
Klaviyo connects to many popular tools, Shopify among them, and those links work well. When your bookings or visits live in a tool without a direct link, or the link doesn't carry the details you need, we build the connection.
Will AI send emails to my clients on its own?
Only the messages you've approved to send that way. You decide which follow-ups go out automatically and which wait for you to read first. Anything about a complaint or a health concern always goes to a person.
Can I see if the follow-ups are working?
Yes. Klaviyo shows opens and clicks for each flow, and we set up the connection so you can match a follow-up to a rebooking. We also tell you when other things moved the number too.
I use Mailchimp, not Klaviyo. Does that matter?
No. We connect whichever email tool you already use. Klaviyo tends to suit businesses that want messages triggered by orders or visits, and Mailchimp suits plenty of others.
What does it cost?
Every package has a fixed price, shown on the packages page before you talk to anyone. The Small Team package covers two AI helpers, half a day a month of our time, a monthly review call, and the AI running costs, for $1,950 a month.
