AI for your business, where it saves you real hours
How we help

What we set up around the AI

You know AI could help, but you haven't had the time to work out where. Meanwhile the same jobs fill your week, like order emails, quotes, listing copy, and the monthly report. We help small teams use AI where it saves real hours, starting with one job and building from there. We set it up around the tools you already use, keep it running, and tell you plainly when a simpler fix would do. You get the same help a bigger company buys, at a fixed price that fits a team of one to ten.

Where small teams get stuck with AI

AI gets oversold. Every week there’s a new tool that promises to run your business while you sleep, and most of them don’t know the first thing about your business. So it’s fair if you’ve tried a couple, felt a bit let down, and gone back to doing it yourself.

The usual pattern goes like this. You pay for a chat app, use it for a few emails and a caption or two, and then it sits there. Nobody set it up to see your orders or your bookings, so every job still means copying details in and out. It saves you ten minutes here and there, but your evenings look the same.

Under that sits the real gap. Without a clear picture of where your week goes, every AI idea looks about as good as the next, so it’s hard to know where to start.

Why the app on its own doesn’t fix it

The AI model is the easy part. What makes it useful in a small business is everything set up around it. It needs to see the right information, it needs clear instructions in your voice, and it needs someone to look after it when your prices or products change.

So we treat AI as a job to set up properly, one task at a time. The AI subscription is the smallest piece. The work that decides whether it pays is finding the right first job, connecting it to your tools, and checking the drafts until you trust them.

How we help you use AI well

We start from what you want back in your week and work back to the AI. A few ideas shape every piece of work.

Start from the job. We find the one task that costs you the most hours and where a wrong draft is easy to catch. Sometimes that’s AI. Sometimes it’s a simple rule in a tool you already pay for, and we’ll tell you so.

Work from your real information. The AI only helps if it can see your real details. So we connect it to the tool that holds the answers, like Shopify, Rex, or Square, and give it access to nothing more than it needs.

Your model, not theirs. You shouldn’t have to bend your week around a tool. We set things up around how you already work, in the apps you already use.

Not tied to one AI. Your data and your instructions sit apart from the AI model. When a better model comes along, we can move you to it without starting again.

How it connects to the rest of what we do

AI for your business is where we decide what to set up first. From there, the work goes through our focused services: AI helpers for jobs like replies and quotes, automating repeat work for the copy and paste jobs, connecting your tools so information moves on its own, and reports that write themselves for the monthly numbers.

What it looks like in a real week

Harbour Lane Property is a three-person boutique agency in Newcastle. The agent used to write every listing description and campaign email by hand from appraisal notes, about three hours per listing. Now an AI helper drafts the listing copy, the email, and the social captions from the notes and photos in Rex. It takes about 40 minutes per listing, and the principal still rewrites every headline.

A community food relief charity we work with has two paid staff and about thirty volunteers. The quarterly report for its main funder used to take the coordinator close to a week. Now the first draft takes about a day. One volunteer site still logs meals on paper, so someone types those totals in by hand first.

Neither of these is a big project. Each one started with one job that took too long, and each one still has a person making the calls that matter.

AI for your industry

The first job looks different in each kind of business. See where AI fits in real estate, marketing and creative agencies, e-commerce, hospitality and events, and not-for-profits.

How we help

What we set up around the AI

01

AI helpers (agents)

AI that does a real job in your business, like drafting replies or building a weekly report, the same way every time.

02

Connecting your tools (data pipelines)

Moving information between your store, your inbox, and your accounts, so the AI sees the full picture without you copying it across.

03

One home for your data (a data lake)

Your information kept in one place, so the AI works from everything you know instead of scattered files.

04

Better instructions (prompt optimisation)

Tuning how the AI is asked, so it gets the answer right more often and costs less to run.

05

Mapping how you work (process mapping)

Working out, step by step, how your business runs, so the AI is pointed at the right job first. Most of our work starts here.

06

What already worked elsewhere (cross-industry expertise)

Know-how from many kinds of small business, so you get what worked for others instead of paying to learn it again.

FAQs

Common questions

Where should a small business start with AI?
Start with the one job that eats your evenings, and keep it narrow. Order emails, quotes, and product copy are common first jobs, because they repeat and a wrong draft is easy to spot. Our free AI Starter Plan asks about your business, your goals, and where your week goes, then gives you a plan for where to start.
Can I use ChatGPT or Claude on my own instead?
Yes, and for one-off writing they're great. The gap shows up on repeat jobs, because a chat app can't see your store, your inbox, or your bookings, so you end up copying details in and out. We connect the AI to those tools and give it clear instructions, so the work comes back ready to check.
Will AI replace my staff?
In the small teams we work with, it takes the repeat work off people so they can spend time on customers and the work that needs judgement. At The Orchard Barn, the AI helper drafts every quote, and the events manager still calls every couple before they book.
Is my business too small for this?
We work with teams of one to ten, including solo operators. Our packages are sized by team, from Solo for one person to Growing Team for six to ten people, and every price is on the packages page.
What does it cost?
Every package has a fixed monthly price that includes the AI running costs. Solo is $990 a month, which covers 1 AI helper set up and kept running and 2 hours a month of our time. There's no lock-in contract beyond the month.
What if AI isn't the right answer for my problem?
Then we'll say so. Some jobs are better handled by a plain rule in a tool you already pay for, or by tidying how the work flows. We'd rather you spend on the fix that works.
What will AI get wrong?
It can sound sure of itself and still be wrong, and it misses tone in hard moments. That's why the AI helpers we run draft and wait for a person on anything that matters. We also name the cases each AI helper must hand to you, like complaints or questions about someone's health.
