What changed
Harbour Lane Property is a three-person boutique agency in Newcastle. The agent wrote every listing description and campaign email by hand from appraisal notes, and it took about 3 hours per listing. An AI helper now drafts the listing copy, the campaign email, and the social captions from the notes and photos in Rex, and each listing takes about 40 minutes.

About 3 hours of writing for every listing
Harbour Lane Property is a three-person boutique agency in Newcastle. For every new listing, the agent wrote the property description, the campaign email to the buyer database, and the social captions, all by hand from the appraisal notes. It took about 3 hours per listing.
That time came out of the part of the week an agent would rather spend with sellers and buyers. And because three pieces got written at different times, a detail like the number of car spaces could end up different in the email and the listing.
What we set up
We set up an AI helper (the industry calls it an agent) that reads the appraisal notes and photos stored against each property in Rex. From those it drafts the listing description, the campaign email, and a set of social captions, all in the agency’s own tone. The listing copy goes back into Rex, and the captions drop into the agency’s Canva templates.
Because all three drafts come from the same notes, the facts match across them. The agent reads the drafts, fixes anything that’s off, and checks every claim against the notes before anything goes live.
What didn’t work the first time
Our first version leaned on the photos as much as the notes. It guessed at things a photo can’t tell you, like whether a kitchen was new or well kept. A listing has to be accurate under the Australian Consumer Law, so a confident guess is a real problem. We changed the order so the appraisal notes lead and the photos only add colour, and anything the notes don’t say stays out.
What changed, and what still needs a person
The listing copy, the email, and the captions now take about 40 minutes per listing, down from about 3 hours.
The principal still rewrites every headline by hand. The agent still checks every fact against the notes before a listing goes live.
