How a solo brow and lash artist answers Instagram booking questions mid-appointment

In short

What changed

We work with a solo brow and lash artist whose booking questions arrived in Instagram messages, mostly during appointments. An AI helper now answers price and availability questions and sends the booking link. Fewer enquiries go missed, and anything about allergies or skin goes straight to the artist.

Booking questions during appointments

We work with a solo brow and lash artist. Most new clients find the studio on Instagram and send a message to ask what a treatment costs or when there’s a free spot. Those messages tend to arrive while the artist is with a client, with both hands busy.

By the time the appointment finished, some people had already booked somewhere else. Others got a reply hours later and never answered.

What we set up

We set up an AI helper (the industry calls it an agent) that reads new Instagram messages. When the question is about price, what a treatment includes, or availability, it answers from the artist’s own price list and sends the Calendly booking link. The client picks a time, and the booking lands in the artist’s calendar.

The AI helper says up front that it’s the studio’s AI helper, and that the artist will reply to anything it can’t answer.

What didn’t work the first time

Our first version treated every booking question the same. A client asked whether they could book a lash lift after a reaction last time, and the AI helper replied with the booking link. The artist caught it and replied personally. Now any message that mentions allergies, reactions, skin conditions, or patch tests goes to the artist without an AI reply.

What changed, and what still needs a person

Fewer enquiries go missed, because price and availability questions get an answer during the appointment instead of after it.

Anything about allergies or skin goes to the artist. So do complaints, and any message the AI helper isn’t sure about.

Where this fits

This is one of our AI helpers, kept to a short list of questions it can answer well. If your messages pile up while you work, get your AI Starter Plan and tell it where your week goes.

FAQs

Common questions

What questions does the AI helper answer?
Prices, what each treatment includes, and when there's a free spot, with the Calendly booking link. Those answers come from the artist's own price list.
What does it pass to the artist?
Anything about allergies, past reactions, skin conditions, or patch tests. The first version answered one of those with a booking link, so now any message that mentions skin or a reaction goes to the artist without a reply.
Do clients know they're talking to an AI helper?
Yes. Its first message says it's the studio's AI helper and that the artist will reply to anything it can't answer.
