What Klaviyo is
Klaviyo is an email and text message marketing platform. It keeps a list of your customers and what they’ve done, and it sends messages when something happens, like a first order, an abandoned cart, or a visit. It connects closely to Shopify and many other tools, which is why a lot of online brands use it.
The sending is the easy part. The work is getting the right information in, and writing messages that sound like you instead of a template.
How a small team uses it with AI
We work with Still Water Day Spa, a seven-person day spa in Noosa. Clients often left without rebooking, and follow-up texts only happened when someone remembered. We set up follow-up messages drafted from each visit in Fresha, the spa’s booking system, and sent through Klaviyo. An AI helper (the industry calls it an agent) writes each message from the details of the visit, using wording the team approved.
The spa’s rebooking rate went from 31% to 44% over three months. A new booking system rollout in the same period also helped, so not all of that rise belongs to the follow-ups. Read the full story.
What we connect and build around it
- Connecting your tools (data pipelines), so visits from your booking system or orders from your store reach Klaviyo.
- Better instructions (prompt optimisation), so each message reads like your team wrote it.
- A review step on the wording, so nothing personal or sensitive goes into an automatic message.
Where Klaviyo falls short
Klaviyo can’t tell you whether a client had a good visit, and a follow-up can’t fix one that went badly. Those conversations belong to a person. It also works best when your customer records are tidy. If half your clients have no email address, the first job is collecting them. And more messages isn’t always better, so we watch unsubscribes as closely as rebookings.
