Connecting your tools with Mailchimp

Keep your Mailchimp list up to date without exporting a spreadsheet every month

Mailchimp is only as useful as the list inside it. If new clients, donors, or customers live in other tools, someone has to export them and upload a file, and the list is always a little out of date. Connecting your tools (the industry calls it data pipelines) moves new people and their details into Mailchimp as they arrive, tagged so you can send the right email to the right group. An AI helper can also draft your newsletter from what happened that month, for you to edit and send.

What you get

What we connect for you in Mailchimp

01

New people added as they arrive

Clients, customers, donors, or volunteers from your other tools land in Mailchimp as they sign up, with no monthly export.

02

Tags that mean something

Each person is tagged by what they bought, booked, or gave, so you can email one group without writing to everyone.

03

Unsubscribes respected everywhere

When someone opts out, we make sure your other tools don't add them back next week.

04

A newsletter first draft

An AI helper drafts your monthly newsletter from what happened in the business, ready for you to edit in your own words.

05

Looked after when things change

If a connected tool changes and people stop flowing in, we spot it and fix it.

Your Mailchimp list is always a month behind

You send a newsletter from Mailchimp, and it works. The trouble is getting people into it. New clients sign up through your booking system, customers buy through your store, and donors give through a payment page. Once a month, or when you remember, someone exports a spreadsheet, cleans it up, and uploads it. By then, the people who joined last week have missed the email that would have mattered most to them.

Why Mailchimp on its own doesn’t do the job

Mailchimp is good at sending email to a list, sorting people into groups, and showing who opened what. It also has ready-made links to many popular tools.

But those links don’t cover everything a small business uses, and they don’t always bring across the detail you’d want to sort by, such as which service someone booked or which appeal a donor gave to. When the link isn’t there, the gap gets filled by a spreadsheet and a free evening. Mailchimp can’t fix that from its side.

How we connect it to Mailchimp

We start by mapping how you work (the industry calls it process mapping). We list every place a new person enters your business, what you know about them at that point, and which emails they should get.

Then we connect each of those places to Mailchimp, using a ready-made integration where one does the job and building the link where it doesn’t. Each person arrives tagged by what they did, so you can write to past clients, new customers, or regular donors without guessing. We set it up so unsubscribes are respected across every tool.

If writing the newsletter is the slow part, we add an AI helper (the industry calls it an agent) that drafts it from the month’s news, such as new products, upcoming dates, or a thank-you to volunteers. You edit it, add your own lines, and send it.

When connecting Mailchimp is the right call, and when it isn’t

It pays off when people join your business through more than one tool and your list keeps falling behind. Not-for-profits with several ways to give, and small shops with both a store and a market stall, often fit this.

If everyone comes through one tool that already links to Mailchimp, switch that link on and you’re done. And if your list is small enough to know everyone by name, a personal email may do more than any connection.

FAQs

Common questions

Doesn't Mailchimp connect to other apps already?
Mailchimp has many ready-made integrations, and if one covers what you need, we'll use it. We build connections when your tool doesn't have one, or when the ready-made one doesn't bring across the details you want to tag by.
Will AI write and send my newsletter?
It drafts. You read it, change what needs changing, and send it. Your newsletter is often the most personal thing your business sends, so the final words stay yours.
How do you handle people who unsubscribe?
Carefully. We set up the connection so an unsubscribe in Mailchimp is respected and nobody gets added back by another tool. Australia's spam rules require you to honour unsubscribes, and your readers expect it anyway.
Should I move to Klaviyo instead?
Not unless you need to. Klaviyo suits businesses that send lots of messages triggered by orders or visits. If Mailchimp does what you need, we connect what you have.
What does it cost?
Every package has a fixed price, shown on the packages page before you talk to anyone. The AI Starter Plan is free and shows you where to start.
