Friday client updates drafted from your project board

Retainer clients want to hear from you every week, and writing those updates eats the end of the week. An AI helper reads the tasks your team already logged in Asana and drafts one update per client covering what got done, what's next, and what you need from them. Saltbush Studio, a six-person design agency in Fremantle, now sends all twelve Friday updates in under an hour. The director still reads each one and adds a personal line.

Where it helps

Jobs an AI helper takes off a small studio

01

Weekly client updates

One draft per retainer client from the week's tasks in Asana or monday.com, in the same shape every week.

02

Brief summaries

A messy client email thread turned into a one-page brief your designer can work from, with open questions listed.

03

Caption first drafts

Captions for the month's content calendar, drafted from the client's tone guide, ready for the account lead to sharpen.

04

Proposal starting points

A first draft of scope and timeline from your discovery call notes and past proposals, for you to price and finish.

Where a studio’s week goes

In a small agency, the billable work is design, copy, and strategy. Around it sits a ring of writing nobody bills for. Weekly updates to each retainer client. Briefs pieced together from long email threads. Captions for next month’s calendar. Proposals that start from a blank page every time. The director usually ends up doing most of it, often late on a Friday.

How an AI helper fits in

An AI helper (the industry calls it an agent) is AI set up to do one job the same way every time. For a studio, a good first job is the weekly client update. We connect it to your project board, so it reads the tasks your team ticked off and the ones coming up. It drafts one update per client in your studio’s voice, covering what got done, what’s next, and what you need from them. The director reads each one, adds a line, and sends it.

Saltbush Studio’s Fridays

We work with Saltbush Studio, a six-person design agency in Fremantle with twelve retainer clients. The director used to write all twelve Friday updates by hand from the project board, and it took most of the afternoon. Now an AI helper reads the week’s tasks in Asana and drafts each update. All twelve take the director under an hour. We tried feeding in the team’s Slack as well, but it picked up jokes and half-made decisions, so Slack came out and the board is the only source.

What it can’t see

The AI helper only knows what’s written on the board. If a designer finished something and didn’t tick it off, the update won’t mention it. Saltbush’s updates still can’t say whether a job is over budget, because hours live in a separate app that isn’t connected yet. And anything sensitive, like a missed deadline or a scope argument, is written by a person.

If your Fridays go on client emails, get your AI Starter Plan and tell it where your week goes.

FAQs

Common questions

Will clients notice the updates are AI-drafted?
They'll notice the updates arrive on time and look the same each week. At Saltbush Studio, the director reads every draft and adds a personal line, so the voice is still the director's.
Can it read our Slack too?
We tried that with Saltbush. It picked up jokes and half-made decisions and put them in client drafts, so Slack came out. The project board is the only source now, and we'd suggest the same for you.
Does it work with monday.com or only Asana?
Either. The AI helper reads whichever board your team logs work in. What matters is that tasks are written clearly enough for a client to read.
What does it cost?
A studio of six to ten often fits Growing Team at $3,450 a month, which covers 4 AI helpers, one day a month of our time, a monthly review call, and AI running costs. Smaller studios usually start on Small Team at $1,950 a month.
What can't the updates say?
Anything your board doesn't hold. Saltbush's updates still can't say whether a job is over budget, because hours are tracked in a separate app that isn't connected yet.
