Asana for small teams

Where it fits

How we use Asana for small teams

Asana is where your team already writes down what got done. That makes it one of the best places to point AI, because the facts are there and they're current. We connect Asana to an AI helper (the industry calls it an agent) that reads the week's tasks and drafts the client update, the status report, or the handover note. A person reads it, adds what only they know, and sends it. Your team keeps working in Asana the way they do now. The writing that came after it is what goes.

What Asana is

Asana is a project and task tool. Teams use it to list the work, give each task an owner and a due date, and see where every project is up to. Agencies and small studios often use it to run client work, with a project per client or per job.

How a small team uses it with AI

The facts about your week already sit in Asana. The time goes on turning them into something a client or the owner can read. That’s a good job for AI.

We work with Saltbush Studio, a six-person design agency in Fremantle that sends a status update to each of its twelve retainer clients every Friday. The director used to write all twelve by hand, and it took most of the afternoon. We set up an AI helper (the industry calls it an agent) that reads the week’s tasks in Asana and drafts one update per client: what got done, what’s next, and what the studio needs from them. The director reads each draft, adds a personal line, and sends it.

We tried feeding it the team’s Slack chat as well. It picked up jokes and half-made decisions and put them in client drafts, so Slack came out. The twelve updates now take the director under an hour. Read the full story.

What we connect and build around it

  • Connecting your tools (data pipelines), so Asana feeds your email and documents in Google Workspace.
  • Mapping how you work (process mapping), so the board holds what the drafts need.
  • Better instructions (prompt optimisation), so every update follows the same shape and your tone.

Where Asana falls short

Asana knows about tasks, not money. At Saltbush Studio, the updates still can’t say whether a job is running over budget, because hours are tracked in a separate app that isn’t connected yet. Asana also can’t tell the AI helper what was agreed in a phone call unless someone writes it down.

What we build

What we set up around Asana

01

Weekly client updates

The AI helper reads each client's tasks for the week and drafts what got done, what's next, and what you need from them.

02

Tasks from emails

A client request in your inbox becomes a drafted task in the right Asana project, ready for someone to check and assign.

03

Status reports for the owner

A short weekly summary of what's late, what's blocked, and what's coming, drafted from the board.

04

A tidy board to read from

We help set clear project and task rules, because the AI helper's drafts are only as good as what the team logs.

FAQs

Common questions

Asana has AI features. Why add an AI helper?
Asana's own AI works inside Asana, and what you get depends on your plan. We build AI helpers when the job reaches past the board, like a client email drafted in Gmail from the week's tasks, or a task created from a request in your inbox.
Can the AI helper read our team chat too?
It can, but we've learned to be careful. When we fed team chat into client updates for one agency, the drafts picked up jokes and half-made decisions. Now we use the project board as the only source for anything a client sees.
What if my team doesn't keep Asana up to date?
Then the drafts will be thin, and that's often the first useful thing they show you. We help set a few simple rules for what gets logged, and the drafts improve as the board does.
Will clients know an AI helped write the update?
That's your choice. Every draft is read by a person who adds a personal line before it goes out, so the update still sounds like you.
Do we need a paid Asana plan for this?
It depends on how your account is set up and which connections it allows. We check what your plan can share with other tools before we build anything.
