Automating your processes

When you ask us to help with a job, we don’t want to do it for you once. We want to set it up so the same job never costs you real time again. The weekly roster, the supplier invoices, the Monday stock report. Set up once, then handled from then on.

Show us the job, once

The quickest way to automate a job is to show us how you do it. You record your screen and talk through the steps, start to finish, the way you’d explain it to a new starter. We start by mapping how you work (the industry calls it process mapping), step by step, then turn it into a draft you can check, test, and switch on. If you find a better way later, we change it.

Built from your real information

An automated job is only as good as the information it works from. So we connect it to the tools you already use, like your inbox, your accounts, or your booking system, and it works from your real records instead of guesses.

We work with a five-person online homewares store that typed around 60 supplier invoices into Xero each month. Now an AI helper reads each invoice from the inbox and drafts the bill in Xero, and the bookkeeper checks and approves them in one sitting a week. Overseas invoices in other currencies are still done by hand. See the full story.

Ask, and it starts moving

The old way is a list on the fridge and a job you get to when you can. With an automated job, it runs when the invoice lands or the week ends. We set these up as part of automating repeat work and mapping how you work, and it’s a big part of what we do as your AI & Technology Partner.

What it frees up

Automating the routine gives you and your team the time back for the work only people can do: the judgement calls, the client relationships, and the parts of the business you started it for. The AI helpers that run these jobs are covered in AI helpers that do real work.
