A Square sales report that does your Sunday stocktake for you
Square records every sale you ring up, but working out what to reorder still means sitting down with the numbers. For many shop owners that's a Sunday gone. We set up a report built from your Square sales that lists what sold, what's sitting, and what you might reorder, written in plain words and sent to you each week. For cafes and caterers, the same idea can turn orders into a daily prep list. The buying and the cooking decisions stay with you.

What we set up for you with Square
Sales pulled for you
Each week your Square sales by item come out of Square and into one short report, with nothing to export.
What sold and what sits
A clear list of your best sellers and the items that haven't moved, so slow stock doesn't hide on the shelf.
Suggested reorders
A short list of items worth reordering, based on how fast they sold, for you to accept, change, or ignore.
A daily prep list for food businesses
For cafes and caterers, orders gathered into one sheet with a list of what to make each day.
Your call on every order
The report suggests. What you buy, mark down, or cook stays your decision.
Your weekend goes on working out what to reorder
Every sale goes through Square, so the numbers are there. But turning them into a reorder list still means sitting down at the end of the week, scrolling through items, and counting what moved and what didn’t. In a small shop, that falls to the owner, and it usually happens on a day off.
Why Square on its own doesn’t do the job
Square is good at taking payments and keeping a record of every sale. Its Dashboard shows sales by item, by day, and by staff member.
What it doesn’t do is answer your real question, which is what you should buy next week. That means putting sales next to what’s on the shelf, spotting the items that haven’t moved, and deciding what’s worth reordering. Square shows you the pieces, and you still put them together by hand.
How we set it up with Square
We work with a four-person fashion boutique where the owner counted sell-through by hand every Sunday to decide reorders. We built a report from the boutique’s Square sales that lists what sold, what’s sitting, and suggested reorders, kept in a Google Sheet. The Sunday stocktake is gone. Buying decisions stay with the owner, who still knows things the sales numbers can’t show. Read the boutique story.
We also work with a six-person cafe with a catering arm. Catering orders came by email, phone, and form, and were copied onto a whiteboard. Now orders are gathered into one sheet with a daily prep list, and there were no missed orders in the first two months. Phone orders are still typed in by staff. Read the cafe catering story.
In both cases, an AI helper (the industry calls it an agent) does the reading and the first draft, and a person makes the call. Before we built either one, we sat with the owner and went through how they decided things by hand. That’s mapping how you work (the industry calls it process mapping), and it’s why the reports answer the questions the owners really ask.
When a Square report is the right call, and when it isn’t
It pays off when you sell enough items through Square that the weekly picture isn’t obvious, and someone spends hours working it out by hand.
If you carry a small range and know your shelf by heart, a quick look at the Dashboard may be all you need. And the report only knows what goes through Square and the tools we connect. Sales or orders that arrive any other way still need a person to enter them.
