Square for small shops and cafes

Where it fits

How we use Square for small shops and cafes

Square is the card reader and point of sale (the industry calls it POS) that a lot of cafes, boutiques, and market stalls run on. It records every sale, item, and customer, which means the numbers you need for buying and planning are already there. Most owners still pull them out by hand. We connect your Square sales to a report or a sheet that an AI helper (the industry calls it an agent) fills in for you, so you get what sold, what's sitting, and what to prep without a Sunday spent counting. You still make the buying decisions. The report gives you the facts to make them faster.

What Square is

Square is a payments and point of sale system (the industry calls it POS). It runs the card reader on your counter, an online store if you want one, invoices, and a record of every item and sale. It’s popular with cafes, boutiques, salons, and market stalls because you can be up and running in a day.

All of that data sits inside Square’s dashboard. Your stock decisions, prep lists, and accounts sit outside it, and that gap is where owners lose their evenings and weekends.

How a small team uses it with AI

We work with a four-person fashion boutique where the owner counted sell-through by hand every Sunday to decide what to reorder. We built a report from the boutique’s Square sales that lists what sold, what’s sitting, and suggested reorders. The Sunday stocktake is gone. Buying decisions stay with the owner, because the report can’t know which customer is coming back for a size or what next season looks like. Read the full story.

We also work with a six-person cafe with a catering arm. Catering orders came by email, phone, and a web form, and staff copied them onto a whiteboard. Now orders gather into one sheet with a daily prep list, and the cafe had no missed orders in the first two months. Phone orders are still typed in by staff. Read how it works.

What we connect and build around it

  • Connecting your tools (data pipelines), so Square sales reach your sheet, your accounts, and your reports.
  • Reports that write themselves, with a short note from an AI helper (the industry calls it an agent) on what changed this week.
  • One list for every order, whether it came over the counter, by email, or through a form.

Where Square falls short

Square knows what sold, but it doesn’t know why. A slow week from rain looks the same as a slow week from the wrong stock, so you still read the report with your own head. Square’s built-in reports also cover a lot already, and if they answer your question, you don’t need us. We’ll say so.

What we build

What we set up around Square

01

A weekly reorder report

What sold, what's sitting on the rack, and suggested reorders, built from your Square sales and ready for you to decide on.

02

Orders gathered into one list

Orders from email, forms, and the counter pulled into one sheet, with a daily prep list your team can work from.

03

Sales into your accounts

We connect Square to Xero or your accounting app, so takings and fees arrive without someone typing them in.

04

Plain-English summaries

An AI helper reads the week's numbers and writes a short note on what changed, so you don't have to read a dashboard after close.

FAQs

Common questions

Do you sell Square hardware?
No. You buy your reader and set up your account with Square. We work on what happens with the sales data after that: reports, prep lists, and connections to your other tools.
Can Square connect to Xero?
Yes. Square has a Xero connection in its app marketplace, and for many shops that's enough. Where it isn't, because you need sales split a certain way or matched to other systems, we set that up.
Will the AI decide what I should reorder?
It suggests, you decide. The report lists what sold and what's sitting and makes a suggestion. You know which pieces were a one-off, which regulars are coming back, and what the season looks like, so the call stays with you.
What about orders that come in by phone?
Phone orders still need a person to type them in. At the cafe we work with, staff still enter those by hand, and the rest flow into one list on their own.
Is my sales data safe?
We only read the parts of Square the report needs, and we use the AI on business terms where your data isn't used to train the model. Your data stays yours.
