Stop typing supplier invoices into Xero by hand

If someone on your team spends hours each month typing supplier invoices into Xero, that's a job AI can draft for you. An AI helper (the industry calls it an agent) reads each invoice as it lands in your inbox, picks out the supplier, amounts, and due date, and drafts the bill in Xero. Nothing gets paid or approved on its own. Your bookkeeper checks every draft and approves them in one sitting, so the books stay right and the typing goes away.

What you get

What we set up for you in Xero

01

Invoices read from your inbox

The AI helper picks up supplier invoices as they arrive by email and reads the supplier, line items, amounts, GST, and due date.

02

Draft bills in Xero

Each invoice becomes a draft bill in Xero with the right supplier and account codes, waiting for your bookkeeper to check.

03

Your coding rules written down

We write down how each supplier gets coded, so the drafts follow your bookkeeper's way instead of a guess.

04

Odd ones flagged

Invoices the AI helper isn't sure about, such as a new supplier or a total that doesn't add up, get flagged for a person instead of drafted.

05

Nothing paid on its own

The AI helper drafts. Approving, paying, and reconciling stay with your bookkeeper.

Supplier invoices take hours to type in

Every month the supplier invoices roll into your inbox. Someone opens each one, reads the supplier, the amounts, the GST, and the due date, then types it all into Xero as a bill. It’s slow, it’s dull, and a single typo means a mismatch at reconciliation time. For a small store with dozens of suppliers, it eats hours every month.

Why Xero on its own doesn’t do the job

Xero is where the bills belong, and it has its own tools for capturing them. For a business with a handful of tidy invoices, that may be all you need.

The trouble starts when invoices come in many shapes, from many suppliers, and each one needs coding your bookkeeper’s way. Then someone still has to read each one, decide the account code, and fix what the capture got wrong. Xero can’t learn your rules from a conversation, and it can’t tell which invoices look odd enough to need a person.

How we set it up in Xero

We work with a five-person online homewares store that got about 60 supplier invoices a month. Someone typed every one into Xero by hand.

We set up an AI helper (the industry calls it an agent) that reads each invoice as it lands in Gmail, picks out the supplier, lines, amounts, and due date, and drafts the bill in Xero. The bookkeeper now checks and approves the drafts in one sitting a week.

Not everything moved over. Overseas invoices in other currencies are still done by hand, because each one needs a call on rates and fees that we didn’t want an AI helper making. Read the homewares store story.

Before we built it, we wrote down how each supplier gets coded and which invoices always need a second look. That step, mapping how you work (the industry calls it process mapping), is why the drafts match what the bookkeeper would have done.

When automating Xero is the right call, and when it isn’t

It pays off when you get dozens of supplier invoices a month, they arrive by email, and someone types them in now. The saving shows up in the first month.

If you get five invoices a month, Xero’s own tools and ten minutes of typing will beat any setup. And if your invoices need a judgement call each time, like currency or disputed amounts, those are better left with a person. An AI helper drafts. It never approves or pays.

FAQs

Common questions

Doesn't Xero already read invoices?
Xero has its own tools for capturing bills, and they work well for many businesses. We set up an AI helper when your invoices need your own coding rules, come in many layouts, or need checking against something else before they're drafted.
Will it approve or pay bills?
No. It only drafts. Your bookkeeper checks each draft and approves it in Xero, and payments run the way they do now.
What about invoices in other currencies?
For one store we work with, overseas invoices in other currencies are still entered by hand, because they need a judgement on exchange rates and fees. We'll tell you up front which invoices stay manual for you.
Do we need to change bookkeepers or software?
No. We set it up around your Xero file and your bookkeeper's way of working, so nobody has to learn a new system.
Is our financial data safe?
The AI helper gets only the access it needs to draft bills. Your data stays yours, and you aren't tied to one AI model.
What does it cost?
Every package has a fixed price, shown on the packages page. The Solo package covers one AI helper set up and kept running, two hours a month of our time, and the AI running costs, for $990 a month.
