What ChatGPT is
ChatGPT is a chat app made by OpenAI. It runs on OpenAI’s GPT models, and you can use it on the web, on your desktop, or on your phone. You type or talk to it, and it writes back. It’s good at first drafts, rewording, summing up a long email thread, and helping you think through a decision when there’s nobody else in the room.
On its own, ChatGPT doesn’t know your business. It hasn’t seen your orders, your price list, or your clients. It also sounds as sure of itself when it’s wrong as when it’s right, so anything that reaches a customer needs a person to read it first.
How a small team uses it with AI
Most small teams use ChatGPT one person at a time. The founder drafts a newsletter in it. Someone else uses it to rewrite a tricky client email. That’s useful, but it doesn’t build up, because every person starts from a blank chat and their own way of asking.
The first step is to make it shared. A business account keeps the work with the business. Custom GPTs give everyone the same starting point for the jobs you repeat, like writing product descriptions in your house tone or turning meeting notes into a client recap. Then a short set of rules makes clear what can go in and what can’t, like client contracts, bank details, or anything about a person’s health.
The second step is for jobs that happen every day. Copying an email into ChatGPT and pasting the answer back still takes your time. For those, we set up an AI helper (the industry calls it an agent) that reads the email, looks up what it needs, and drafts the reply where you work.
What we connect and build around it
- Better instructions (prompt optimisation), so your custom GPTs give the right answer more often.
- Connecting your tools (data pipelines), when a job needs your inbox, store, or spreadsheets.
- Rules for using AI safely, written in plain words your team will read.
Some jobs fit ChatGPT well. Others fit a connected AI helper better, and that helper might run on an OpenAI model or another one. Your instructions and data sit apart from the model, so you’re not tied to any one company.
Where ChatGPT falls short
ChatGPT can’t remember your business the way a staff member does unless you give it the facts each time or store them in a project or custom GPT. It can’t see your other tools from the chat window. It also can’t make the judgement calls that need you, like whether to refund an unhappy customer or which client gets priority this week.
