Airwallex for small teams

Where it fits

How we use Airwallex for small teams

Airwallex is a business payments account built for money that crosses borders. You can hold several currencies, pay overseas suppliers, collect from customers abroad, and give your team cards. A lot of small e-commerce brands use it because their stock is made overseas. The work that piles up is around it: matching each overseas payment to the right bill, working out the real cost after the exchange rate, and explaining it all to your bookkeeper. We connect Airwallex to your accounting software, and set up an AI helper (the industry calls it an agent) that matches payments and writes a plain note on what each one cost. A person still approves every payment.

What Airwallex is

Airwallex is a business account for payments across borders. You can hold money in several currencies, pay overseas suppliers, collect from customers in other countries, and give your team cards for spending. It started in Melbourne, and a lot of Australian small businesses that buy stock from overseas use it.

It makes paying overseas easier. It doesn’t make the bookkeeping disappear. Each payment still needs to meet a bill, and each exchange rate still changes what the stock cost you.

How a small team uses it with AI

Overseas payments are where hand work hangs on longest. We work with a five-person homewares store that now has supplier invoices drafted into Xero by an AI helper (the industry calls it an agent), and the overseas invoices in other currencies are the part they still do by hand. Read that story.

That’s the right call for a first version, because exchange rates and fees need a person to check. When a business is ready for the next step, Airwallex can help. We connect it to your accounts, and the AI helper matches each overseas payment to its bill and writes a short note on the real cost in Australian dollars. Your bookkeeper reviews the notes instead of working each one out.

What we connect and build around it

  • Connecting your tools (data pipelines), so Airwallex payments land in Xero or your accounting software against the right bill.
  • A payment run list of overseas bills due, drafted for you to approve.
  • A review step, so no money moves without a person.

Where Airwallex falls short

Airwallex can’t tell you when to buy a currency, and an AI helper shouldn’t try. Exchange rates move, and timing a payment is a business call with real money on it. Some suppliers also want to be paid a particular way, and that knowledge lives with you. If you only pay one or two overseas invoices a year, you may not need any of this.

FAQs

Common questions

What does Airwallex do?
It gives a business an account that can hold and pay in several currencies, collect payments from overseas, and issue cards to staff. It's built for businesses that buy or sell across borders.
Is Airwallex a bank?
No. Airwallex is a payments company, started in Melbourne, and it isn't a bank. Read its terms on how your money is held, and talk to your accountant if you're unsure whether it suits you.
Will the AI send payments for me?
No. Money leaving your account always needs a person to approve it. The AI helper drafts the list and does the matching, and you press pay.
Can Airwallex connect to Xero?
Yes. Airwallex has a Xero connection, and for many small teams that covers the basics. We build on top of it where you need payments matched to bills or notes on cost that the standard connection doesn't give you.
Is my financial data safe?
We connect with access limited to what each job needs, and we use the AI on business terms where your data isn't used to train the model. Your data stays yours.
