Reminders, intake forms, and no-show follow-ups that run themselves
A salon or studio repeats the same small jobs for every client. Send the intake form. Remind them the day before. Follow up a no-show. Ask for a review. We set those steps to run on their own from your booking system, so the forms are filled in before the client arrives and the gaps in tomorrow's book are flagged tonight. Anything about a client's health on their intake form still goes to you to read.

Salon and studio jobs that run themselves
Intake and consultation forms
New clients get your form when they book, and anything they flag about health or allergies is highlighted for you.
No-show and late-cancel follow-ups
A polite message goes out after a missed appointment, with your policy and a link to rebook.
Waitlist fills
When a booking cancels in Fresha or Mindbody, people on your waitlist get a message about the free spot.
Review requests
A short thank-you with a review link goes out the day after a visit, on the schedule you choose.
The admin around every appointment
Every client visit comes wrapped in small jobs. A new client needs the intake form. Someone needs reminding. A cancellation leaves a gap that someone on the waitlist would take, if anyone had time to message them. A no-show needs a follow-up that’s firm but kind. Then there’s the review request. In a three-chair salon, the owner often does all of this between clients, or at night.
How the repeat work runs itself
Automating repeat work (the industry calls it workflow automation) means writing down the steps you already follow and setting them to run on their own. For a salon or studio, we start from your booking system, whether that’s Fresha, Mindbody, or Square. When a booking is made, changed, or missed, the right message goes out. Intake forms that mention health or allergies are flagged so you read them before the client walks in. Gaps from cancellations go to your waitlist.

Follow-ups at a day spa
We work with Still Water Day Spa, a seven-person day spa in Noosa. Clients often left without rebooking, and follow-up texts went out when someone remembered. Now follow-up messages are drafted from each visit in Fresha and sent through Klaviyo. The rebooking rate went from 31% to 44% over three months, though a new booking system rollout in the same period also helped, so not all of that lift is ours.
Where it stays with you
The automation doesn’t make judgement calls. It won’t decide whether a client’s health condition rules out a treatment, and it won’t charge a fee. It also can’t read the room. A regular who’s going through a hard time and keeps cancelling needs you, not a reminder.
