Let an AI helper fill in your Airtable base so you don't have to

Airtable is a great place to keep track of jobs, requests, and people. The slow part is getting everything into it. Requests arrive by text, email, and forms, and someone copies each one in and chases the missing details. An AI helper (the industry calls it an agent) can do that first pass. It reads each request, sorts it, asks for what's missing, and adds a tidy record to Airtable. A person still makes the decisions that need judgement.

What you get

What we set up for you in Airtable

01

Requests logged for you

The AI helper reads new requests from email or forms and adds each one to your Airtable base with the right type and details.

02

Missing details chased

When a request is missing something, like a photo or a date, the AI helper drafts the question back to the person who sent it.

03

Drafts ready to send

From each record, the AI helper drafts the next message, such as a job for a tradie or a roster for volunteers.

04

A base that fits the work

We tidy your tables and fields so the AI helper and your team see the same clear picture.

05

Clear lines for people

Urgent or sensitive cases skip the AI helper and go straight to a person.

Your Airtable base is only as good as the typing behind it

You set up Airtable to keep track of repairs, volunteers, bookings, or jobs. It’s tidy when it’s up to date. The trouble is that requests don’t arrive in Airtable. They arrive by text, email, and web form, often missing half the details. So someone copies each one in, chases the missing bits, and then writes the next message by hand.

Why Airtable on its own doesn’t do the job

Airtable is good at holding and linking records. It has automations that fire when a record changes, and it has AI features that can help inside the base.

But most of the work happens before a record exists. Someone has to read the message, work out what kind of request it is, notice what’s missing, and ask for it. Airtable doesn’t read your inbox, and it can’t have a back-and-forth with a tenant or a volunteer. That’s where the hours go.

How we set it up with Airtable

We work with a solo property manager who looks after 140 rentals. Tenant repair requests arrived by text, email, and the portal. We set up an AI helper (the industry calls it an agent) that sorts each request, asks the tenant for photos, and drafts the job for the tradie, with everything logged in Airtable. Requests now get logged the same day. Urgent jobs still go to a phone call. Read the property manager story.

We also work with an animal rescue that has one paid coordinator and 45 volunteers. The weekly roster was built by hand from texts. Now an AI helper collects availability, drafts the roster in Airtable, and messages volunteers through Slack to fill gaps. The roster takes an hour instead of an evening. The coordinator still makes the final call on who handles new animals. Read the animal rescue story.

For both, we started by mapping how you work (the industry calls it process mapping), then tidied the Airtable tables so the AI helper and the team see the same thing.

When Airtable is the right call, and when it isn’t

Airtable is a good fit when you track lots of linked things, like rentals and their repairs or volunteers and their shifts, and the requests come in from many places.

If your list is short and simple, a shared spreadsheet may do the job, and we’ll say so. And anything urgent, sensitive, or about safety should go straight to a person. We set it up that way from day one.

FAQs

Common questions

Doesn't Airtable already have automations and AI?
Yes. Airtable has its own automations and AI features, and we use them where they fit. We add an AI helper when the job starts outside Airtable, such as messages in an inbox, or needs a back-and-forth with someone before a record is complete.
Will it make decisions for us?
No. It sorts, logs, and drafts. Decisions like which tradie to send or who looks after a new animal stay with a person.
What happens with urgent requests?
We set rules so urgent cases skip the queue. For one property manager we work with, urgent jobs still go to a phone call.
We use a spreadsheet, not Airtable. Does that matter?
Not always. Airtable suits jobs with lots of linked records, like rentals and their repairs. If a simple spreadsheet works for you, we can build around that instead.
What does it cost?
Every package has a fixed price, shown on the packages page. The Solo package covers one AI helper set up and kept running, two hours a month of our time, and the AI running costs, for $990 a month.
